AI is changing how investors manage rental property data. We tested the platforms that use artificial intelligence for document extraction, portfolio analysis, and automated bookkeeping to find which ones deliver real value.
The promise of AI in property management is simple: let software handle the tedious data entry and document processing that eats hours of an investor's time. Upload a closing disclosure, and AI extracts the purchase price, loan terms, and closing costs. Send in a PM statement, and AI reconciles it against your books.
But most platforms that claim AI features are using basic OCR or simple rule matching, not genuine machine learning or large language models. The difference matters when you need accurate extraction from messy, inconsistent documents.
We tested six platforms that advertise AI capabilities to see which ones genuinely automate investor workflows versus which ones use AI as a marketing buzzword.

DoorVault uses large language models to extract data from 15 plus document types including closing disclosures, PM statements, insurance policies, and mortgage documents. Knox, its AI assistant, answers portfolio questions in natural language.
AppFolio uses AI primarily for leasing and tenant facing tasks through its Lisa AI assistant. It handles prospect communication and showing scheduling but does not offer investor side document processing.
Buildium has added AI features for maintenance categorization and communication drafting. These help PMs run operations but do not assist investors with portfolio oversight.
Hemlane uses AI to help route maintenance requests and match tenants with local agents. Its AI features focus on the operational side of property management rather than investor analytics.
Baselane uses machine learning for transaction categorization within its banking platform. The AI is limited to expense classification rather than broader document processing or portfolio analysis.
Stessa uses automation for transaction categorization and basic reporting but does not employ advanced AI for document processing or portfolio analysis.
We uploaded identical sets of 25 documents (PM statements, closing disclosures, insurance policies, mortgage statements) into each platform and measured extraction accuracy, processing speed, and the quality of AI generated insights.
