What it does

DoorVault's PM Portal connects directly to your property manager's software and syncs properties, tenants, work orders, vendors, and financial data into your DoorVault account. Instead of waiting for monthly PDF statements and manually entering numbers, you get a live feed of what your PM is doing.

Currently the PM Portal supports RentManager with additional property management platforms planned. The integration pulls property details, unit information, tenant records, lease terms, work order history, vendor lists, and owner financial statements. Everything syncs on a schedule so your DoorVault dashboard always reflects the latest state.

For investors who use professional property managers, this changes the oversight model. Instead of reviewing one PDF per month and hoping the numbers are right, you have real time visibility into occupancy, maintenance activity, and financial performance across your entire managed portfolio.

How it works

1Enter your PM system credentials

From the PM Portal settings page, enter the connection details for your property manager's system. DoorVault encrypts and stores these credentials securely.

2Initial sync pulls all data

DoorVault performs a full sync of properties, units, tenants, work orders, vendors, and financial data from your PM's system. This creates matching records in DoorVault.

3Ongoing sync keeps data current

After the initial sync, DoorVault checks for updates on a regular schedule. New tenants, completed work orders, and financial transactions appear automatically.

4Review and reconcile

Use DoorVault's dashboard and financial reports to monitor your PM's performance. Compare PM reported income and expenses against your bank feeds for full reconciliation.

Property and unit sync

All properties and units from your PM's system appear in DoorVault with addresses, unit numbers, square footage, and other details intact.

Tenant and lease data

Active tenants, lease start and end dates, rent amounts, and security deposit information sync automatically. See occupancy status at a glance.

Work order tracking

Maintenance requests, vendor assignments, completion dates, and costs flow into DoorVault. Track response times and maintenance spending across your portfolio.

Financial statement sync

Owner statements, income, and expense data sync from your PM's accounting system. Compare PM reported numbers against your own bank feed data for reconciliation.

Encrypted credentials

Your PM system login credentials are encrypted at rest using Fernet encryption. DoorVault never exposes your credentials in logs or API responses.

Vendor directory

Vendors from your PM's system sync into DoorVault so you can see who is handling maintenance across your properties.

Getting started
  1. Get your PM system credentials

    Contact your property manager and request API access or login credentials for their management software. For RentManager, you need the company code, username, and password.

  2. Connect in DoorVault

    Navigate to the PM Portal section in DoorVault, select your PM software type, and enter the connection credentials.

  3. Run the initial sync

    Click Sync Now to pull all properties, tenants, work orders, and financials from your PM's system into DoorVault.

  4. Set up ongoing monitoring

    DoorVault syncs automatically on a schedule. Review the PM Portal dashboard to monitor your managed portfolio.

Common questions
Which property management systems are supported?
Currently DoorVault supports RentManager. Additional property management platforms are planned. If your PM uses a different system, you can still use DoorVault's document upload and bank feed features to track your portfolio.
Does my property manager need to do anything?
Your PM needs to provide API access credentials or a login for their management system. The specific requirements depend on which PM software they use. For RentManager, you need the company code, username, and password.
How often does data sync?
After the initial full sync, DoorVault checks for updates on a regular schedule throughout the day. You can also trigger a manual sync at any time from the PM Portal page.
Can I use the PM Portal alongside bank feeds?
Yes, and this is the recommended setup. Bank feeds from Plaid show your actual bank transactions, while PM Portal data shows what your property manager reports. Comparing the two gives you full reconciliation and oversight.
